Title: Payroll Coordinator
Reports to: Payroll Supervisor

I. Summary

The Payroll Coordinator will be responsible for assisting the Payroll Supervisor and AIM workforce in the maintenance and processing of ADP eTime and ADP Payex payroll records. This includes processing employee garnishments, employee payroll deductions (medical, dental, 401k, personal use of fleet vehicle) and manual checks. The Coordinator will also be part of the team to convert from ADP to UltiPro in early 2016.

Ultimately, the goal of the position will be to fully cross-train with the Payroll Supervisor and be able to perform all key payroll functions and respond to AiM employee inquiries in her absence.

II. Essential Duties & Responsibilities

Regular, onsite attendance is mandatory.

Payroll processing — Maintain, monitor, and process ADP eTime and Payex records for AiM’s workforce. This includes the regular processing of payroll, monitoring timecards, resolving login issues, processing wage levy and garnishment documents; processing changes in employee payroll deductions (medical, dental, 401k, personal use of fleet vehicle); processing manual checks; processing direct deposits and researching ACH discrepancies; processing direct deposit and W4 changes; organizing and maintaining payroll documents and forms on ADP’s portal.

Quarterly – Provide payroll processing backup. Process one payroll each quarter or when Payroll Supervisor is absent. Assist Payroll Supervisor with payroll tax filings.

Year-end – Assist with yearend tasks including W2s

401k – Assist with tasks as requested including annual audit support

Special Projects – Assist Payroll Supervisor with analyses and reports of personnel, headcount and compensation data as requested.

Other – Other duties as assigned.

IV. Competencies

The candidate should possess the following competencies:

UltiPro Experience Preferred – We prefer a candidate with experience with UltiPro HR and Payroll software. However, we will consider a candidate who lacks prior UltiPro experience provided they have an AA or 4 year college degree.

Good Communication Skills – Both oral and written, including all internal and external correspondence. Must be able to coordinate and communicate with AIM employees, their supervisors and the AIM management team in Long Beach.

Computer Skills – Become and remain proficient in all programs necessary to perform the everyday duties of this position. This includes but is not limited to the aforementioned UltiPro software and all Microsoft Office programs.

V. Education
Education – Minimum high school degree and UltiPro training; AA or four year degree preferred if the candidate has no prior experience working with the aforementioned UltiPro software.

VI. Classification

This position is Full Time non-Exempt (hourly) and is eligible for over-time.

Full Time employees are eligible to participate in AIM’s benefit plans, including medical, dental and 401k.

 

VII. Compensation

 

$15-17 per hour (depending on experience) w/ benefits ( starting on the first of the month after completion of the first 60 days of continuous employment).
